You can connect accommodations in a way so that when a guest books one property, any linked units will automatically become unavailable for the same dates.
- Go to BNBForms → Accommodation → Accommodations (not Accommodation type!)
- Choose the needed one and click Edit.
- Find the ‘Linked Accommodations’ section.
- Tick the boxes next to the associated units – the accommodation you’re editing will be blocked if any of the selected are booked.
- For two-way sync, repeat step 1 & 2 for each linked unit.
Yes, it’s possible to display availability only, but the process is a bit specific. Here is an example:
- Create a new page and add the Availability calendar to it.
- Select the accommodation you want to display.
- In the page settings on the right, choose the Canvas template.
- Publish the page.
Yes, you can create a new season for weekdays and set a different price for this season. The system will apply it automatically.
- Create a new season: Accommodation → Seasons.
- Choose weekdays under Applied for days option.
- In Rates set a different price for this season.
Yes, you can set a minimum stay of one week in the Booking Rules section (Bookings → Booking Rules). However, you still need to set a daily price, even if the minimum stay is seven days. This daily rate will be applied if a guest books for 8, 9, or more days.
Yes, our short-term rental software allows you to link each accommodation listed on your website directly to its corresponding booking page on BNBForms.
Implementation details: https://bnbforms.com/document/open-booking-widget-by-any-button/#custom-trigger-page
Yes, you can edit the price of a booking manually by editing the Total Booking Price of an individual booking via the Bookings menu.
All confirmation emails will include the invoice as an attachment. You can also download them for individual bookings in the Bookings menu (open a booking → Generate Invoice).
If a fee is mandatory, you may add it as a fee so your guests are always charged (Bookings → Taxes & Fees). If it’s an optional fee, you may add it as a service (Accommodation → Services).
Yes, you can add people and control their access level: https://bnbforms.com/document/how-to-add-new-user/
Yes, send a request to our team: https://bnbforms.com/contacts/
The BNBForms vacation rental software works a bit differently than setting rates in Booking.com:
- You need to configure seasons: Accommodation → Seasons.
- You need to create rates for each accommodation type: Accommodation → Rates.
- You can block accommodations manually in the Block Accommodation section: Bookings → Booking rules → Block accommodation.
Additionally, you can sync bookings with platforms like Booking.com, Airbnb, etc., by following this guide to prevent overbooking: https://bnbforms.com/document/ical-synchronization/
We also have integration with PriceLabs. If you use this service, we can enable it for your account by request: https://bnbforms.com/contacts/
Currently, the BNBForms short-term rental booking software supports booking multiple accommodations in one transaction only if they have the same check-in and check-out dates.
If the dates are different, the guest would need to make separate bookings for each cabin.
To speed up the process for a guest, tick the box “Redirect to the checkout page immediately after successful addition to reservation” in the Settings (Accommodation → Settings → General → “Book button behavior on the search results page” section).
Use the Attributes menu: Accommodation → Attributes → Add New.
- Enter the Title of your custom attribute (e.g. Location).
- Click Configure Terms.
- Add all possible terms for this attribute (e.g. London, Paris, New York).
While adding a term, you must fill in at least the Name field. - Click Add New to save the term.
Then, Attributes must be assigned to accommodation types to be used:
- Go to Accommodation → Accommodation Types.
- Hover over an accommodation type and click Edit.
- In the Attributes section (right-hand column), tick the relevant terms for this accommodation type.
While you can manage unlimited properties and bookings in one account, each host will need to create a separate account. It’s not possible to manage multiple hosts under a single account in BNBForms.
Currently, BNBForms supports importing bookings through iCal/ICS files on a per-property basis only (not multiple bookings at once).
Important:
- The check-in and check-out date information is necessary for all bookings.
- UID must be unique for every booking.
Once your files are ready, import bookings for each property via Bookings → Sync Calendars. Select the accommodation, hover over it, click Import Calendar, browse for the file, and upload it.
Yes, it’s possible, but only by using the Reschedule / Edit booking option.
By default, when you add a new booking manually, you cannot select dates in the past. To work around this, follow these steps:
- First, create a booking for any date in the future.
- Open the newly created booking and click Edit dates.
- Select the required past dates.
- Click Check Availability.
This step is crucial: the past dates must be available for this property. If they are, the status will show Available. Also, make sure that you have Seasons and Rates created for these dates in the past. - Click Continue.
- Verify that the new dates are correct.
- Click Save.
This process allows you to update a booking to past dates once it has been created.
Go to Bookings → Booking Rules.
Use these rules:
- Minimum Advance Reservation (how soon someone can book before arrival).
Example: 1 day → the guest must book at least 1 day before arrival (no same-day bookings allowed). - Maximum Advance Reservation (how far into the future a guest can book).
Example: 365 days → guests can book up to 1 year in advance.
The booking window is everything between the minimum and maximum advance reservation settings.
Example:
Minimum advance: 2 days
Maximum advance: 180 days
Booking window = from 2 to 180 days before arrival
Yes, you can use different payment accounts for each property. We support Stripe, PayPal, and Direct Bank Transfer for this setup. If you need this enabled for your account, contact us: https://bnbforms.com/contacts/
Yes, you can add a security deposit to the booking price. It won’t be refunded automatically, so you will need to refund it manually.
Follow this tutorial to add a security deposit in BNBForms:
https://bnbforms.com/document/how-to-add-security-deposit/
Yes, use the Notifications menu: Bookings → Notifications → Add New to create a notification. Give the notification a clear name that describes its purpose (for example, Key pick-up instructions).
Customer notifications are sent to the guest’s booking email and depend on the accommodation type.
To add room-specific info to emails, edit the email template and insert these tags:
- %accommodation_notice_1%
- %accommodation_notice_2%
Use them to show different info per room (for example, access or key codes).
Then assign the content:
- Go to Accommodation → Accommodation Types.
- Edit an accommodation type.
- Fill in the fields under Notification Customizer.
The info you add here will be displayed in emails for the particular accommodation you are editing. If the fields are empty, the email will show blank values.
Sure, use the Notifications menu: Bookings → Notifications → Add New to create a notification. Set your sending rules, customize an email content and click ‘Create’.
