Banyan Tree Resort reserves the right to update or modify these Terms of Stay, Cancellation, and Refund Policies at any time. The policy in effect at the time of booking will apply to your reservation
1. General Terms of Stay
- Check-in: 3:00 PM
- Check-out: 11:00 AM
- Minimum stay: May apply during peak seasons, holidays, and special events.
- Occupancy: Maximum occupancy per room or villa is specified at time of booking; additional guests may incur extra charges.
- Non-smoking property: All guest rooms, villas, and indoor public spaces are non‑smoking. Designated outdoor smoking areas may be provided. A cleaning fee of USD$500 will be charged for violations.
- Pets: Pets are not permitted unless explicitly agreed in writing in advance (e.g., certified service animals, subject to local regulations).
- Daily housekeeping is provided, with evening turndown service available upon request.
- Complimentary high‑speed Wi‑Fi is available throughout the resort.
Banyan Tree Resort & Retreat reserves the right to refuse service or cancel a stay if guest behavior is unsafe, unlawful, or disruptive to other guests or staff.
2. Rates, deposits & payment
- Rate types: We offer Flexible Advance Purchase rates. Each rate has its own cancellation and refund conditions, which are clearly displayed at the time of booking.
- Currency: All rates are quoted in USD (or local equivalent) and are subject to applicable taxes, service charges, and resort fees.
- Deposit:
- Advance Purchase rates: A 100% prepayment of the stay is required at the time of booking.
- Balance payment: Any remaining balance is due at check‑in and may be settled by major credit card or other accepted payment methods.
- Incidental hold: A refundable security/incidentals hold of $250 USD may be placed on your card at check‑in.
- Any unused portion of the hold is released automatically after check‑out; processing times vary by bank.
- Guests are responsible for any damage, missing items, or excessive cleaning required after departure.
3. Standard Cancellation & modification policy
- 30+ days prior to arrival:
- Cancellations received 30 days or more before the scheduled arrival date are eligible for a full refund of the deposit.
- 15–29 days prior to arrival:
- Cancellations received 15–29 days before arrival may incur a cancellation fee equal to 1 night’s room and tax. Any remaining prepaid amount (if applicable) will be refunded.
- 0–14 days prior to arrival / no‑show / early departure:
- Cancellations received within 14 days of arrival, no‑shows, or early departures may be charged up to 100% of the stay as booked.
- Modifications:
- Date changes and length‑of‑stay modifications are subject to availability and current rates.
- If the new dates fall into a higher rate period or different cancellation window, the new terms will apply.
- Shortening a stay within the penalty window may result in charges for unused nights.
Specific terms may vary by offer, season, or promotional package; the policy shown at the time of booking will prevail.
4. Advance Purchase bookings
- Payment: 100% of the stay is charged at the time of booking.
- Changes & cancellations:
- Cancellations, no‑shows, or early departures will result in forfeiture of the full prepayment availability as listed above,
- Special offers: Promotional or discounted rates may carry stricter conditions; please review the specific terms before confirming.
5. Group bookings & event stays
For reservations of 5 rooms or more, or for weddings, retreats, and events, a separate Group Contract will apply, including:
- Customized deposit schedule
- Extended cancellation deadlines
- Attrition and room‑release terms
Group policies will supersede the standard terms outlined here.
6. No‑show & early departure
- No‑show: If you do not arrive on the scheduled date and have not cancelled within the applicable window, the reservation will be treated as a no‑show and may be charged up to the full stay depending on the rate type.
- Early departure: Departures earlier than the confirmed check‑out date may be charged in full for the remaining nights, particularly for non‑refundable or peak‑season stays.
7. Force majeure & exceptional circumstances
We understand that unforeseen events can occur. In cases of:
- Natural disasters, severe weather, or island‑wide disruptions
- Government travel restrictions or border closures
- Serious documented medical emergencies
Banyan Tree Resort & Retreat may, at its sole discretion, offer:
- Date changes without penalty,
- Credit toward a future stay, or
- Partial or full refunds
Documentation may be required, and decisions will be made case‑by‑case
8. Third‑party bookings
If you booked through a travel agent, online travel agency (OTA), or other third‑party platform, their cancellation and refund policies may apply. All changes and cancellations must be processed through the original booking channel.
9. How to cancel or modify a reservation

The effective time of cancellation is when we receive and confirm your request in writing. We recommend retaining your cancellation confirmation for your records.
10. Extra beds & additional guests
We aim to make every stay feel spacious and effortless.
- Rollaway beds are available in select villas for an additional nightly fee.
- Maximum occupancy varies by villa type; our reservations team will confirm the best configuration for your party.
- Bedding requests (rollaways, cribs, additional linens) should be made at least 48 hours before arrival to ensure availability.
- Additional guest fees may apply depending on the room category and season.
11. Transfers & Transportation
- Private airport transfers can be arranged from both Nevis (NEV) and St. Kitts (SKB).
- Water taxi transfers from St. Kitts are available and can be coordinated directly through our Experience Desk at [email protected] for a fee of $250/booking.
- On‑island transportation (taxis, private drivers, rental cars) can be arranged prior to arrival or during your stay.
- Luggage assistance is provided upon arrival at the resort and during departure.
To ensure smooth travel, we recommend confirming transfer details at least 72 hours before arrival.
12. Dining, allergies & special requests
- Please inform us of dietary restrictions, allergies, or special dining needs prior to arrival.
- Our culinary team can accommodate vegetarian, vegan, gluten‑free, and allergy‑sensitive menus with advance notice.
- Private dining, in‑villa meals, and special celebrations can be arranged through our concierge.
