Terms & Conditions

These terms and conditions (the contract) set out the agreements and obligations, of which, when a deposit has been made, you are bound to book a stay with Loxley Park Lodges. If you think Loxley Park Lodges has made an error, notify us immediately.

Deposits

Upon booking, a deposit of £100 of the total booking will be required. If you book within 6 weeks of your stay, then the full balance will be required. All payments are non-refundable.

Payments – Balance

The remainder of the total balance must be paid in full 6 weeks before arrival. Failure to make the final payment before this date will result in the booking being cancelled and any deposit payments made will not be refunded.

Signatory

The signatory to this booking form (whether it is the guest or his/her duty-appointed representative) will be responsible for meeting all obligations hereunder on behalf of their guests.

Cancellations

Once the booking has been confirmed, any deposits paid are non-refundable. If full payment has been made 6 weeks before arrival, if the lodge can get re-let 50% of the total balance will be refunded. If we are unable to relet the lodge, no refund will be payable.

There is an option to reschedule your stay at the discretion of Loxley Park Lodges.   

Loxley Park Lodges strongly recommends that insurance be taken out against cancellation.

Numbers in your party

The total number of your party must not exceed the capacity of the accommodation as advertised by us or exceed the capacity declared upon booking without prior arrangement.

Children

Unfortunately, we do not allow children at Loxley Park Lodges.

Your Stay

In the following circumstances, Loxley Park Lodges will be entitled to prohibit members of your party from staying on-site without obligation to refund the price or to pay any losses or costs suffered as a direct or indirect result.

  • If a member of your party is acting in an unsafe or irresponsible manner.
  • If Loxley Park Lodges or the estate has reasonable grounds that a member of your party is under the influence of drink or drugs.
  • If a member of your party is likely to cause property damage.
  • If a member of your party acts in a verbal or physically threatening manner to any representative of Loxley Park Lodges.
  • If any illegal activity is being conducted on the premises.
  • Or any reason we deem unreasonable.

Health and Safety

  • Guests should comply with all instructions given by Loxley Park Lodges
  • Grounds at Loxley Park Lodges can be used at guests’ own risk.

Kitchen

  • Equipment is used at the guests’ own risk.
  • All equipment should be examined before use for faults. If equipment is found to be faulty, do not use it and report it to a member of the Loxley Park Lodges team.
  • If alcohol is consumed on the premises this is done completely at the guest’s own risk.

Security Deposits

You will be asked for an additional £50 security deposit. This is payable before your arrival and will be returned to you after departure, provided your accommodation is undamaged, clean and tidy.

Breakages or Damage to Accommodation

The Client is bound to reimburse Loxley Park Lodges for damage caused in the accommodation or its contents during the hire period. A security deposit may not be refunded to accommodate for replacement, repair or extra cleaning costs.

Please let us know as soon as possible in the event of any breakages or damages before you check out of the property.

If you lose keys belonging to Loxley Park Lodges, you will incur a replacement charge of £38.00 per key.

Hot Tubs & Fire Pits

  • Do not enter the Hot tubes without reading the safety notice and disclaimer below.
  • Please make sure you are dry before entering the Lodge from using the Hot tub
  • Please adhere to all Hot Tub rules stated outside by the hot tub.
  • Please only use the towels provided for the Hot Tub
  • Do not sit on the furniture in damp clothing/towels.
  • Please only use plastic glasses in the Hot Tub area.
  • Please leave all wet hot tub towels (blue and white striped) in the basket provided

HOT TUB SAFETY NOTES AND DISCLAIMER

THIS DOCUMENT MUST BE READ BEFORE YOU MAKE USE OF THE HOT TUB

  1. Always keep the hot tub covered and the cover straps secured when not in use. This will conserve energy and prevent any person/animal or debris from falling into the tub.
  2. Please, where applicable, put hair up in a ponytail to avoid getting it caught in the filter or drain.
  3. Ensure the hot tub is at the appropriate temperature, considering the people using it. The hot tub is pre-set at 38 degrees centigrade, just above body temperature. The water temperature should never be above this, as this could lead to the body overheating.
  4. Avoid drinking alcohol or using drugs in the hot tub. The hot water will amplify and speed up the effects of any alcohol or drugs. Alcohol makes you drowsy and falling asleep in hot water can be very dangerous. In addition to the risk of drowning, your body cannot regulate its temperature as well as when you are asleep, which can lead to severe overheating.
  5. Never use electrical devices (including phones, radios, TVs, or any other corded devices) in or near the hot tub.
  6. Always shower, preferably with swimwear on, before entering the hot tub to remove any washing powder, lotions, etc. – people wearing fake tans must not use the hot tub – always shower after using the hot tub to remove chlorine, etc.
  7. Be cautious when using the hot tub during the winter. If the temperature outside the hot tub is below freezing, water splashed over the edge can quickly freeze into slippery ice. Always be careful when exiting.
  8. Do not use the spa after a heavy meal
  9. Do not exceed 15 minutes of immersion in the hot tub at a time.
  10. Please remove all jewellery before entering the hot tubs – Loxley Park Lodges cannot be held responsible for any damage.

WARNINGS

  1. Pregnant women should avoid submerging their stomachs in a hot tub, as the temperature is far too hot for the foetus. Seek medical advice before entering the hot tub
  2. If you have heart disease, high blood pressure, diabetes, cancer, respiratory disease or are immunosuppressed, you should seek medical advice before using a hot tub.
  3. As with swimming pools, immediately exit and seek shelter if you see lightning or during any other kind of adverse weather.
  4. THIS HOT TUB IS TREATED WITH CHEMICALS, AS A NORMAL SWIMMING POOL WOULD BE; THEREFORE, IF YOU ARE ALLERGIC TO ANY CHLORINE, YOU SHOULD NOT USE THIS HOT TUB. THE OWNER RESERVES THE RIGHT TO TEST THE WATER AT ANY TIME AND ADDRESS ANY SAFETY ISSUES WITH THE WATER QUALITY. We accept no responsibility for any reactions or illnesses you might experience after using this hot tub.
  5. Any direct damage caused to this hot tub by anyone should be reported to the owners immediately and will be charged.

Smoking

Smoking is strictly forbidden in any area at Loxley Park Lodges. This includes e-cigarettes. If smoking is detected, a charge may be made to cover the extra cleaning service required to eliminate any smells/damage/mess discovered.

Rights of Entry

Loxley Park Lodges reserve the right to enter accommodation at all times for inspection purposes, to carry out any necessary repairs/maintenance, or in the case of an emergency.

The Hot Tubs will be serviced Daily during your stay between 8am – 10am.

Wi-Fi and Appropriate Usage Policy

The internet access provided is intended for general use, such as access to the World Wide Web, email, messaging, social media, and light video/music/media streaming. It is not intended or ideally suited for heavy media streaming, online gaming, or extensive downloads/uploads. Access to illegal activity or use of our network for illegal activity is prohibited and will be reported to local authorities.

Force Majeure

Circumstances amounting to “force majeure” include any event we could not foresee or avoid, even with all due care. Such circumstances include the destruction or damage of your accommodation (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, explosion, flood, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic and all similar situations beyond the Owners control.

Liability

Except in the case of liability for death or personal injury caused by Loxley Park Lodges (LPL) proven negligence, Loxley Park Lodges will not be liable for any personal injury losses or damage suffered by you or your possessions for whatever reason which may have occurred in the course of, or as a result of, the day(s).

To avoid doubt, Loxley Park Lodges’ liability for personal injury, death, fraud or fraudulent misrepresentation shall not be excluded. However, LPL shall not be liable in contract or tort for any loss, damage, or legal fees as a result of any failure in the performance of the contract by you, injury or damage suffered by you or any third party, any loss resulting from the contract with LPL (including but without limitation where LPL falls into insolvency, administration or a petition for winding up or bankruptcy is present against LPL owners the result of which may be that any payments made by you hereunder are unrecoverable) or any unusual or unforeseeable circumstances beyond LPL’s control.

LPL liability, except in circumstances involving death, personal injury, fraud or fraudulent misrepresentation, is limited to £10 million. Your function is entirely at your risk. The security of equipment, vehicles and other possessions is entirely the responsibility of the owner’s risk. LPL cannot accept any responsibility for the loss or damage caused. Please park in the car parks provided.

Complaints Procedure

If a Guest has a complaint, it should be submitted to the Coordinator(s) responsible for the property’s management and maintenance at the earliest opportunity. No complaints can be accepted unless notified immediately and during the rental period, the coordinator(s) should be given an opportunity to make good the reason for the complaint. Law

Relevant United Kingdom law will apply to this contract.

These terms

These terms constitute the whole of the agreement between the parties (unless varied in writing) and by your signature hereto and payment of the deposit referred to in paragraph four above shall constitute acceptance on behalf of the event, it being the signatory’s responsibility to make other members of their party aware of these terms.

Medical Concerns

We have a complete first aid kit located in each lodge. If you have any specific medical requirements, you must inform us when booking. During the evening/night, if there is an emergency, you should call 111 or 999. For specific questions, please contact us.

Privacy Policy

This page informs website visitors of our policies for collecting, using, and disclosing Personal Information.

If you choose to access and use our service, you agree to the collecting and use of the information as detailed within this policy. Data & Protection

You agree that Loxley Park Lodges shall be entitled to use your details and those members of your party in connection with the organising of your event/stay. Loxley Park Lodges will not pass these details to third parties other than as necessary to arrange your event, but this may involve a credit reference check, public authorities such as customs/ immigration if required by them, or as required by law. However, We will not pass any information onto anyone not responsible for part of your accommodation and travel arrangements. This applies to any sensitive information that you give us, such as details of any disabilities or dietary/ religious requirements. We cannot provide your booking if we cannot pass the information on to the relevant suppliers. In making this booking, you consent to this information being passed on to the relevant person. The owner or the supplier’s use of your information is subject to their policy and is their responsibility. Loxley Park Lodges may use the details to notify you of events if they think these could be of interest to you. If at any time you want to be removed from Loxley Park Lodges’s database, please contact us directly at Loxley Park Lodges.

GDPR Policy

Loxley Park Lodges will be what’s known as the ‘Controller’ of the personal data you provide to us. We only collect basic personal data about you, which does not include any special types of information or location-based information. This does, however include your name, postal address, email and phone number.

Why do we need your data?

There is a legitimate interest in knowing your basic personal data (name, phone number, email/postal address) in order to provide you with our services in line with this overall contract. We will not collect any personal data from you we do not need in order to provide and oversee this service to you.

What do we do with your data?

All the personal data we process is processed by our staff in the UK however, for the purposes of IT hosting and maintenance, this information can be located on servers within the European Union as well as in other countries around the world that are GDPR compliant. No third parties have access to your personal data unless the law allows them to do so. We have a data protection regime in place to oversee the effective and secure processing of your personal data. How long do we keep your data?

We are required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 6 years, after which time it will be destroyed. Your information we use for marketing purposes will be kept with us until you notify us that you no longer wish to receive this information.

What we would also like to do with your data?

At the moment, we do not take part in any email marketing. However, we would like to use your name and email address to inform you of our future development and similar services. This information is not shared with third purposes and you can unsubscribe at any time via phone or by emailing [email protected]

If at any point you believe the information we process on you is incorrect, you can request to see this information and have it corrected or deleted.
